Walla Walla Community College Shareable Applications


These shareable applications were specifically written with the idea of sharing with other colleges in our Washington State system. Special effort was expended to make them flexible and installable at other colleges.

APPLICATION NAME: 
Academic Early Warning (AEW)

OVERVIEW: The Academic Early Warning (AEW) application is primarily a tool to support instructor reporting of student status. The system is optimized for the automation of reporting tasks that occur once or a few times per quarter and involves a large portion of the primary faculty. The system allows for reporting simple, user defined, status codes to characterize a student's status. AEW is web-based and allows instructors to authenticate using the same credentials (SID & PIN) used for Instructor Briefcase. AEW mimics the old and seldom used HP3000 early warning system but with additional features and flexibility.

Class-Driven rather than Student Attribute-Driven

  • Instructors can access all or a subset of their classes selected for the reporting period. The classes available to an instructor are determined by the AEW administrator, who is typically someone in the Instruction or Registrar?s office.

  • Student academic progress
  • Mid-term grades
  • 10th day ?No show? reporting

Saves time, paperwork and confusion

  • There is no need to print rosters and distribute manually.
  • It provides a central location for reporting on students.
  • Supports sending notices to student via mail or email.

PREREQUISITES: 

  • Technical Prerequisites: 
         - SQL server 2005+
         - IIS 6.0+ 
         - Some basic Windows Server Administration skills.
         - Some experience deploying and configuring ASP.NET 2.0+ applications.
         - Some basic database administration skills (SQL Server 2005+).

    • Supporting Applications: Lower Columbia College has developed one supporting application that deals with emailing students & staff using data generated by the AEW process. This can be obtained at: http://lcc.ctc.edu/demo/projectlid/
      • LccAEWEmailOnFlags - lccAEWEmailOnFlags was created as an add-on to Walla Walla's AEW program. The add-on handles tracking/emailing alerts to students/staff, providing reports, etc.

    Walla Walla Community College will provide 2 hours +/- of free consultation while you are installing the application.

    Turnkey installation services are available at $60/hr. The amount of time required to install an application is dependent on your infrastructure just as the amount of time it would take you to install the application yourself depends on your technical expertise. If you have the required servers and data in place the installation could take as little as 8 hours. If Walla Walla Community College has to install those servers for you or assist with downloading data, it will take considerably longer.
     
  • Ongoing Support:
    Walla Walla Community College will answer periodic questions about the application (technical or otherwise) at no charge as long as the frequency, nature and duration of these calls are reasonable.
    If you wish to purchase a block of support hours, you may do so at the rate of $60/hr for technical support and $40/hr for non-technical support.
     
  • User Group:
    There is no formal users group for this application at this time. Walla Walla Community College believes that a user group that would provide input for product enhanments and support would be valuable and encourages Colleges interested in forming a user group to do so.

Advisor Data Portal PRO (ADP PRO)

OVERVIEW: ADP PRO- is the second generation of a web-based advising tool developed at Walla Walla Community College. It is a fairly simple process for other CTCs in the state of Washington to use this product on their campus since we share many common data sources - most notably SMS.

Advsior Data Portal (ADP) is a web-based application which gives adviors access to a variety of data useful when advising students. The application supports authentication using EID and PIN (SBCTC WTS authenticaiton) but allows for technical staff to link to other authentication methods (such as AD) with its supported API.

Students can be looked up by name or SID.  Advisors have one button selection of all their advisees. Advsiors must be in the SMS Advisor table to be authorized to use the system if you use the WTS authentication method. If you use another method - such as AD - you can control access with group membership.
Data sources include SMS and optionally Walla Walla Community Colleges Academic Early Warning (AEW) system, Degree Boost Appliance, and an optional student email database.

ADP adds the following features that ADP does not have:

  • Optional student photos (must create a database for this)
  • advisor notes (private notes within ADP PRO)
  • SBCTC SAI metrics
  • fully customizable left side navigation links
  • Quarterly PIN release to students (stored in a database table that you can tap for you own use - for instance to show students)

    Walla Walla Community College believes in sharing computer applications that benefit students and college staff.  We would like to create a shareable version of ADP PRO much like we did for ADP. To do so requires considerable effort on the part of Walla Walla Community College.  Why?  For one thing there are some unique data sources used by ADP PRO which will need to be made optional in the setup of ADP PRO at other colleges.  Colleges have different expertize and size of technical staff, which can make application sharing a challenge.  To address this issue, Walla Walla Community College would like to make the application as easy as possible to install and is willing to provide several hours of free support. Additional support and/or full installation services may be available on a case by case basis.

    We encourage interested colleges who are not using any web-based advising product to first try using ADP "Light" which his shareable now, or view the training video for ADP PRO. If the additional features of ADP PRO are of interest you should contact Walla Walla Community College's Technology Services Director to discuss your interest.   We would like to get a written commitment to ADP PRO and a retainer of $1000 from each interested college.   When and if 5 colleges have made the required $1000 deposit we will start the process to create a distributable version of ADP PRO (in binary form).  If 5 colleges don't commit the $1000 retainer we may not proceed.  If we are don't use overtime resources or are otherwise required by state law to return the retainer we will do so.  It is our understanding that applications developed with state resources must be given away freely but that extra effort expend to make them sharable or to assist other colleges with the installation of the applications can be a chargeable activity.,

    We also see the benefit of forming a user group to enhance ADP PRO subject to our resources.  We do, however, believe that one college should retain ownership of the source code as it is more efficient than splintering the code base. Walla Walla Community College will fix any program bugs and redistribute the application when they are fixed but reserves the right to have final say over whether any enhancements are made.  As we all  grow in our use of shared applications and shared development, there may come a time when distributing programming tasks to other colleges to speed the rate of enhancements may make sense. 

    In the event Walla Walla Community College is no longer in a position to make bug fixes or enhance or support ADP PRO, Walla Walla Community College will make the source code available to any college using the application.

         - Deploys as VMWare virtual machine. Some form of local VMWare infrastructure will be        required or ability to convert the virtual machine to the college's preferred VM        infrastructure.
         - Some basic Windows 2008 server administration.

         - Some basic database server administration SQL 2005/2008.
         - Access to SBCTC DSA-E (Data Staging Area for Eloquence.)
